Travel Reimbursement Policy
EWOC is often able to partially reimburse student and postdoctoral researchers for their expenses to attend the conference in person, depending on the availability of funding. To be eligible to receive reimbursement, student and postdoctoral researchers must present posters. For these poster presenters, EWOC plans to reimburse eligible expenses for transportation and hotel according to the guidelines below (receipts must be provided):
- For local attendees (<300 miles travel): up to a maximum of $295.
- For traveling attendees (>300 miles travel): up to a maximum of $590.
- Eligible expenses include transportation (coach ticket, ideally booked at least 14 days in advance), ground transportation to/from airport, and hotel (at the reduced EWOC rate at the recommended Hilton).
- We strongly encourage carpooling or sharing transportation (Uber/Lyft) and sharing lodging, whenever possible. Book airfare and hotels in advance for the best rates.
- Reimbursement requests will be collected after EWOC 2026. Eligible students and postdocs will receive an email with instructions for making their reimbursement request and uploading the necessary receipts.
